VerbaWrist Privacy Policy
This policy explains what information the VerbaWrist apps (the phone app and the Wear OS watch app) and the VerbaWrist cloud service handle, why, where it goes, how long it is kept and what you can do about it.
Who we are
VerbaWrist is provided by Haugli Multiservice ("we", "us"). You can contact us at VerbaWrist@gmail.com, also from the app: Settings → Support. We decide how the information described here is used.
The short version
- Recording is free and needs no account. Recordings, transcripts, speaker names, summaries, titles and folders are stored on your phone.
- What leaves your phone depends on the AI processing mode you choose (Settings → AI processing):
- Cloud: a temporary copy of the audio is uploaded for transcription and speaker separation, and transcript text is sent for summaries.
- Hybrid (the default): transcription and speaker separation run on your phone; when you ask for a summary, the transcript text and speaker names are sent to the cloud.
- Offline: audio, transcripts and summaries stay on your phone.
- In Cloud and Hybrid mode you can also choose Cloud for a single recording under "Transcribe again"; the app tells you that a temporary copy of the audio will be uploaded.
- Temporary cloud copies of audio and transcripts are deleted after processing. Cloud summaries are kept for up to 30 days.
- Usage statistics are off unless you turn them on.
- You can delete your account in the app. Deleting your account does not cancel a Google Play subscription.
Information on your phone and watch
The following stays in the app's private storage on your device and is not sent to us unless a section below says so:
- audio recordings (from the watch or the phone microphone) and their details, such as start time, duration and which device recorded them;
- transcripts, speaker separation results, the speaker names you enter, and summaries;
- titles and folders you create;
- "Transcribe again" results you have not yet chosen, and a language you set for a single recording;
- downloaded on-device AI models;
- technical records about recordings sent from the watch to the phone (sizes and checksums, no audio);
- your settings.
The watch app has no internet access of its own. It sends recordings only to your paired phone, over the connection between your watch and phone. After the phone confirms it has a complete copy, the watch can remove its copy automatically (you choose this in the watch's settings).
Audio and text leave your phone only for the processing described below, and only in the modes that use the cloud: when you start it, or, if you turn on automatic transcription (Settings → Transcription, off on a new installation), for each new recording.
Information sent to the VerbaWrist cloud service
Your account
- Guest account: the first time the app uses the cloud service (for example to check your plan or what the cloud can do), it creates a guest account with a random identifier. This happens automatically unless Offline mode is selected. You do not need to give a name or e-mail address.
- Sign in with Google: if you sign in, your guest account is linked to your Google account. Our sign-in provider (Firebase Authentication, a Google service) receives your Google account's e-mail address, name and Google account identifier, and stores them with your account so you can sign in again. Our own databases do not store your e-mail address or name.
- To keep the free AI trial one-time per Google account, we store a minimal pseudonymous record derived from your Google account identifier. It does not contain your name, e-mail address or account identifier. It is kept even after you delete your account (see "How long we keep information").
- For the same reason, the number of cloud summaries used during the free trial (with their estimated size and the first and last day, no content) is counted per Google account in a minimal pseudonymous record, and a short-lived pseudonymous record of Founding reservation attempts limits how often a Founding place can be reserved. Neither contains your name, e-mail address or account identifier.
Plan, trial and usage
We store your plan, trial status, how much trial or Cloud time you have used, how many requests you made (to apply rate limits), and service cost records. These records contain no audio or text.
Cloud transcription
Cloud transcription is used in Cloud mode, and when you choose Cloud for a recording under "Transcribe again" (not available in Offline mode). When a recording is transcribed in the cloud:
- the app uploads a temporary copy of the audio together with its size, a checksum, a random request identifier, the recording's identifier in the app, and the language you chose;
- our service sends the audio to our speech provider (Deepgram) for speech recognition and speaker separation, using Deepgram's EU service;
- the transcript is held temporarily until your phone has downloaded it.
Deletion of temporary cloud copies:
- the uploaded audio is deleted as soon as the speech provider has finished (or failed);
- the temporary transcript is deleted as soon as your phone confirms it has saved it;
- if something goes wrong, our automatic cleanup normally deletes any remaining temporary audio or transcript within about 24 hours, and a storage rule deletes anything still left after 2 days.
We keep a record of each transcription job (status, audio length and size, checksum, language, times, error codes and the speech provider's request reference) for 30 days. It contains no audio and no transcript text.
Cloud summaries (Cloud and Hybrid modes)
When you ask for a summary in Cloud or Hybrid mode, the app sends the transcript text, the speaker names (the names you entered, or "Speaker 1", "Speaker 2" and so on) and the summary language. Recording titles, folders and audio are not sent.
Our service sends the transcript text and speaker names to our AI provider (OpenAI) to write the summary. The summary is returned to your phone. We store the generated summary, with checksums of the input, for up to 30 days so that a repeated request is not processed or charged twice. We do not store the transcript text or the speaker names.
Trials in Hybrid and Offline mode
During the free trial, each Hybrid or Offline run asks our service to authorize trial time. For this the app sends the length of the recording and a random run identifier; for Hybrid runs also the recording's identifier in the app. No audio, transcript or summary is sent for this.
Subscriptions
Purchases are made through Google Play. Google Play handles payment; we never receive your payment card details. To confirm and manage your subscription, our service receives the purchase token from your phone and checks it with Google Play. We store the purchase token, order numbers, the product and plan, the subscription state and billing period, the country of purchase reported by Google Play, and, for Founding subscriptions, the Founding number.
Account deletion requests
When you delete your account, we keep a short record that a deletion was requested and completed, so that late requests cannot recreate data for the deleted account (see "Deleting your account").
Offline mode
In Offline mode, transcription, speaker separation and summaries all run on your phone and no audio, transcript or summary leaves it. The app still uses the internet when you ask it to: to download on-device models, to sign in, to buy or check a subscription, and, during the free trial, to authorize trial time (recording length only, as described above). Usage statistics are never sent in Offline mode.
Downloading on-device models
On-device models are downloaded from Hugging Face (huggingface.co and its download network) only when you choose to download them. Hugging Face receives your device's IP address and the name of the file requested, like any website. Nothing else is sent.
Usage statistics (optional)
Usage statistics are off on a new installation. If you turn them on (Settings → Privacy → Usage statistics), the app uses Google Analytics for Firebase to send:
- product events chosen by us, such as "recording completed", "transcription completed" or "plan screen viewed", with coarse details such as the processing mode, whether the recording came from the watch or the phone, and a duration range;
- the standard events Google Analytics records for apps, such as app opens, sessions and Google Play purchases.
These events are linked to a random app-instance identifier, not to your VerbaWrist account. Google Analytics derives an approximate location (such as country or city) from your IP address. We never send audio, transcripts, titles, summaries, speaker names, e-mail addresses or account identifiers to Google Analytics. The advertising ID is not used, and advertising features are turned off. Turning usage statistics off stops collection; in Offline mode nothing is sent.
Security checks and service logs
- App check: to protect the cloud service from misuse, the app asks Google Play Integrity (through Firebase App Check) to confirm that requests come from a genuine copy of VerbaWrist. Google receives information about the app and the device for this check.
- Service logs: our own service logs record technical events (such as which kind of request was made, whether it succeeded and how long it took) and are written so that they do not contain your account identifier, e-mail address, recording or job identifiers, or any audio, transcript or summary text. Separately, our hosting provider's request logs record technical details of each request, such as the IP address, the app version and the requested address, which for some requests includes a random job identifier. These request logs are kept for 30 days.
Why we use information
- To provide the features you use: transcription, speaker separation and summaries in the cloud, your account, your trial and your subscription (to perform our agreement with you).
- To keep the free trial one-time, prevent abuse and protect the service (our legitimate interest in a working and fair service).
- To keep accounting and billing records, and to meet legal obligations.
- To understand how the app is used, only if you turn on usage statistics (your consent, which you can withdraw at any time by turning the setting off).
We do not sell your information, use it for advertising, or use your recordings, transcripts or summaries to train AI models.
Service providers
We use these providers to run VerbaWrist. They process information on our behalf and do not receive it to use for their own purposes, except as their own terms describe for security and legal compliance.
- Google (Firebase and Google Cloud): accounts and sign-in (Firebase Authentication), our cloud service and its databases and temporary file storage (Cloud Functions, Cloud Firestore, Cloud Storage), app checks (Firebase App Check with Google Play Integrity), optional usage statistics (Google Analytics for Firebase), and Google Play (purchases and subscriptions). Our cloud service, its databases and its temporary file storage run in the European Union. Firebase Authentication, Google Analytics and Google Play are global Google services and may process data outside the European Union.
- Deepgram: speech recognition and speaker separation in Cloud mode, through Deepgram's EU service. We have opted out of Deepgram's model improvement programme, under which Deepgram keeps audio only for the time needed to process it; Deepgram keeps technical information about each request (not the audio) for up to 90 days.
- OpenAI: writing summaries in Cloud and Hybrid modes. OpenAI does not use this data to train its models. OpenAI may keep the data sent to it for up to 30 days to detect abuse, and longer if the law requires. OpenAI processes data outside the European Economic Area, including in the United States.
- Hugging Face: downloads of on-device models you choose to download.
Android backup
Android's automatic backup and device-to-device transfer are turned off for VerbaWrist on the phone and the watch. Your recordings, transcripts, summaries, settings and account sign-in are not copied to a backup or to a new device. If you lose, reset or replace your phone, the data stored on it cannot be restored by us. You can sign in on a new phone to restore your subscription.
How long we keep information
- Temporary cloud audio and transcripts: deleted after processing, normally within about 24 hours if something goes wrong, and in any case removed by a storage rule after 2 days.
- Cloud transcription job records (no audio or text): 30 days.
- Cloud summaries: up to 30 days.
- Records of authorized trial runs (mode, recording length and time; no audio or text): 30 days.
- Service cost records (which AI service was used, how much and its estimated cost; no audio or text): 90 days, so that we can check them against our providers' invoices.
- Account, plan, trial and other usage information: until you delete your account.
- Google Play purchase records: while your account exists. After you delete your account, or if a purchase was never linked to an account: as long as the subscription is active or can still be restored, and then 30 days after it has ended.
- The pseudonymous record that keeps the free trial one-time: as long as VerbaWrist offers the one-time trial, with no fixed end date, because a record that expired would let the same Google account receive the trial again. It also records if a Founding first payment was refunded, so that Founding stays unavailable to that Google account.
- The pseudonymous count of cloud summaries used during the free trial (how many, their estimated size, and the first and last day; no content): with no fixed end date, for the same reason, so that the one-time trial's cloud summaries cannot be used again by deleting and recreating an account.
- Records of Founding reservation attempts (times only, pseudonymous): about a day after the last attempt.
- Hosting request logs: 30 days.
- After account deletion, see "What we keep after you delete your account".
When a record reaches the end of its period, it is removed by an automatic cleanup that can take up to about a day longer.
Deleting your account
You can delete your account in the app: Settings → Account & Plan → Delete account. Google will ask you to confirm it is you if you signed in with Google.
When you delete your account, we delete:
- your account and its sign-in, including the e-mail address and name stored by our sign-in provider;
- your plan, trial and usage information, transcription job records and stored summaries;
- any temporary audio or transcripts still held in the cloud.
Deletion starts immediately. If a step cannot be completed straight away, our service keeps retrying automatically until it is finished; in the meantime the account can no longer be used.
What stays on your phone
Deleting your account does not delete recordings, transcripts, speaker names, summaries, titles or folders stored on your phone, unless you choose "Also delete recordings and other VerbaWrist data stored on this phone" on the deletion page. That option is off by default. Downloaded models and settings stay on the phone in either case. You can also delete individual recordings in the app at any time, or remove everything by uninstalling the app.
What we keep after you delete your account
A few limited records are kept. They are no longer linked to your account and are not used to run an account:
- a minimal pseudonymous record that keeps the free trial one-time (and, if a Founding first payment was refunded, that Founding is no longer available) for your Google account, so that deleting and recreating an account does not give a new trial. It contains no name, e-mail address or account identifier, and it is kept with no fixed end date for as long as VerbaWrist offers the one-time trial;
- a minimal pseudonymous count of the cloud summaries used during the free trial for your Google account (how many, their estimated size, and the first and last day; no name, e-mail address, account identifier, recording or content), so that deleting and recreating an account cannot be used to repeat the one-time trial's cloud summaries. Deleting your account does not remove it; it is kept with no fixed end date, like the record above;
- if you reserved a Founding place in the last 24 hours: a pseudonymous record of the times of those reservation attempts, so that deleting and recreating an account does not reset the limit on reservations. It is removed about a day after the last attempt;
- Google Play purchase records, without a link to your account, needed to handle renewals, refunds and disputes with Google Play and to let you restore an active subscription to a new account. They are kept while the subscription is active or can still be restored, and for 30 days after it has ended. If a Founding place was given back after a refund, a record of that is kept for 30 days;
- service cost records without any account link, until 90 days after the service was used;
- a record that the deletion was completed, kept for 30 days after completion to stop delayed requests from recreating data. After that it is removed by an automatic cleanup that runs in the background and can take a little longer (usually up to about a day);
- anything we must keep by law.
Subscriptions are not cancelled by deleting your account
Deleting your VerbaWrist account does not cancel your Google Play subscription, request a refund or end it early. To stop future payments, cancel the subscription in Google Play: Google Play app → profile icon → Payments & subscriptions → Subscriptions → VerbaWrist → Cancel subscription.

Your choices and rights
- Choose Offline mode to keep all processing on your phone.
- Turn usage statistics on or off at any time.
- Delete recordings, or your account, in the app.
- Depending on where you live, you may have the right to access, correct, delete or receive a copy of your information, to object to or restrict its use, and to withdraw consent. Contact us to use these rights. Most information about your recordings exists only on your phone, so we cannot see or provide it.
- You can complain to the data protection authority in your country.
Children
VerbaWrist is not directed at children.
Changes to this policy
When we change this policy, we update the version and date at the top and publish the new version in the app and at the policy's web address. If a change significantly affects how your information is used, we will let you know before it applies.
